The Grants Office
conducts research on potential grant
sources for CCPS, works with individuals or groups within the schools
system to turn needs and research-based solutions into grant-fundable
projects, and supports the development and
submission of proposals for new and existing projects.
The Grants Office
provides financial
oversight and grants management, assures compliance with
grant regulations, assurances, and certifications, and advises grantees
in the administration of grant funds.The Grants Office provides technical
assistance and other support to project coordinators and financial secretaries
to fully utilize awarded grant funds. The Office is also responsible
for financial reporting as required by the funding agency.

| Internal
Consulting |
|
The Office functions
as an internal consulting agency. The definition of an internal consultant
is a staff professional who has responsibility to improve or change
a situation, but who has no direct control over the implementation.
The Office can facilitate the development and submission of grant applications
and interpretation of regulations for implementation and grants management.
The Office will work in collaboration with the client to design and
implement an approach to meeting the client's needs. Contact Michille

Initial meetings
will include a discussion of the services required, expected outcomes
and constraints. From this point, schedules and responsibilities can
be discussed and consolidated into an informal contract between the
requesting person or team and the Grants Office. The Grant Process Flow
Chart shows some of the typical activities associated with grant seeking.
The process can take one month or one year depending on timing, complexity,
and various other factors.

| Advocacy |

The
Grants Office encourages grantseeking in several ways, all of which
promote the consideration of grants as a source of project or
program support. Grants Office staff can assist project coordinators
and schools with an evaluation of the whether grant funds are right
for the project or problem by discussing the purpose of grants, how
the project idea relates to the general purpose, discussing the commitment
required, and other project specific issues.
This
web site is updated regularly and contains general grant information,
federal, state and private grant opportunities,
and other news about applications submitted and awards received in the
system. The web site is available to all on the Internet and specific
information related to grants and procedures within CCPS is available
to cost center managers, grant coordinators and other staff members
from any computer connected to the Intranet.
Any information
you have regarding grant opportunities, applications, award, or tips
from grantors can be submitted to the Grants
Office for possible inclusion on the website.

| Workshops |
|
|
Seminars
are offered on a regular basis and can be formal presentations or informal
work sessions. Any department, office or school can request a
seminar and choose the format that best suits their needs. Several
seminar topics are generic and little notice is required. These
topics can be reviewed or discussed in detail, depending on the desired
time frame, level of expertise of the audience, or amount of information
expected. These are updated on a regular basis and include:
CCPS
Grants Office (10 minutes to 1 hour)
Introduction
to the office, goals, objectives, services provided, internal procedures
for grant approvals; familiarizes clients with the grants process.
Project
Design (1 hour to 4-½ day work sessions)
Participants will be given an outline that can guide them in focusing
on resource needs, two or three most significant problems, and solutions
to those problems that incorporate resource needs. This seminar
can be conducted strictly as a lecture-style workshop or as interactive
work sessions.
Project Development Workbook (1 to 2 hours)
Demonstrates an effective method of project development that lends itself
to the grants process. The Proposal Development Workbook is a
tool designed to consolidate relevant information into one, organized
and accessible location.
Proposal Development (1 hour to whatever it takes)
This can be a lecture-style workshop or proposal development team work
sessions. It can follow a specific grant application format or
a generic outline encompassing standard components of a project design
and proposal narrative.
Budget Development ( ½ hour to 1 ½ hours)
Components of a grant budget including personnel, fringe, taxes, contractual
services, and indirect costs are discussed. Several different
budget forms and formats are reviewed including federal standard from
424, budget detail, budget summary, and budget narrative. Some workshops
focus only on internal budgeting processes.
Grants Management (½ hour to 2 hours)
This session includes a review of the "strings" attached to grants and
the general reporting and record-keeping expectations of funding agencies.
A discussion of the services provided by the Finance and Grants Offices
is included. Grants management as it pertains to a specific grant
awards is generally addressed as the sole issue for a meeting.
In addition to the
above workshops, any topic can be discussed. There are also grants
management workshops focusing more on internal CCPS grant processes.
